Cancellation and Refunds Policy

This Cancellation and Refunds Policy applies to all payments made to AGILESPACE DIGITAL PRIVATE LIMITED for digital marketing consulting and related services, including domestic and international payments.

Because our work is service-based and time-bound, and involves planning, expertise, and resource allocation, our cancellation and refund terms differ from those of businesses selling physical goods.

By making a payment to us, you acknowledge that you have read and agree to this policy.

1. General Policy

1.1 Once an engagement is confirmed and payment is made, we allocate time, specialist resources, and internal capacity to your project. As a result, most fees are nonrefundable, except as provided below.

1.2 If any specific cancellation or refund terms are set out in your proposal, SoW, or Master Services Agreement, those specific terms will take precedence over this policy to the extent of any inconsistency.

2. Cancellation of Services

2.1 Before project kickoff / first consulting session

  • If you request a cancellation before we commence any work (for example, before the kickoff call, discovery, or initial research), we may, at our discretion, process a partial refund, after deducting any administrative costs, payment gateway charges, and effort already invested in pre-engagement discussions or preparation.

2.2 After project kickoff / once work has started

  • Once work has commenced (including discovery, strategy, planning, account audits, research, or any form of consulting or implementation), fees paid are generally nonrefundable, as they represent time and expertise already invested and capacity reserved.
  • In exceptional situations, and entirely at our discretion, we may offer a partial refund or a credit note that you can utilize against future services.

2.3 Monthly retainers and ongoing services

  • For recurring retainers or monthly engagement models, if you wish to stop from the next billing cycle, please notify us in writing (email) at least 15 days before the renewal date (or the notice period agreed in your proposal/contract).
  • Payments already made for the current billing period are nonrefundable, but services will continue until the end of that period, unless otherwise agreed in writing.
3. No Cancellations for Completed or Delivered Services

3.1 Once the agreed deliverables or phase of work have been completed and delivered (for example: a marketing strategy document, audit report, workshop, campaign setup, or consulting session), no cancellation or refund will be processed for that work.

3.2 Marketing outcomes are influenced by many external elements (platform policies, competition, seasonality, your sales process, website experience, etc.). Underperformance relative to expectations or market benchmarks is not, by itself, a valid ground for refund, though we will always try to optimize and course-correct with you.

4. Quality Concerns and Dispute Resolution

4.1 If you believe there is a significant deviation from the agreed scope or a clear quality issue in the delivered service, please reach out to us at info@agilespace.digital within 10 days of delivery, including:

  • Your name and organization
  • Service purchased and date of payment
  • Invoice/transaction reference
  • A clear description of the concern
  • Any examples or supporting material


4.2 We will carefully review your feedback and may:

  • Request further clarification or additional information;
  • Offer revisions, clarifications, or additional support to address your concern;
  • In rare, justified cases, consider a partial refund or service credit, at our sole discretion.


4.3 Our intent is always to resolve matters fairly and pragmatically, while balancing the effort already invested and the value delivered.

5. Cases Where Refunds Are Not Applicable

Without limiting the above, refunds will not be applicable in the following situations (illustrative, not exhaustive):

  • Delays or limitations caused by missing or delayed inputs/approvals/access from your side (e.g., ad account access, content approvals, website changes).
  • Impact of external or environmental factors such as platform policy changes, algorithm updates, market shifts, competitor actions, or changes within your organization.
  • Your unilateral decision to pause, defer, or stop the services after we have started work or assigned resources.
  • Partial utilization of services—for example, if you do not use all consulting hours or services within the agreed period.
  • Fees paid on your behalf to third parties such as media platforms (ad spends), software tools, or any external service providers, once committed or paid.
6. Refund Process and Timelines

6.1 If a refund is approved by AGILESPACE DIGITAL PRIVATE LIMITED, we will initiate the refund to the original payment method wherever possible, unless we mutually agree on an alternative mode.

6.2 Once we initiate the refund, the time taken for it to reflect in your account will depend on your bank, card issuer, or payment gateway. Typically, this can take up to 16–30 business days.

6.3 We are not responsible for delays, deductions, or additional charges applied by banks, card issuers, payment gateways, or other intermediaries in the refund process.

7. International Transactions

7.1 For international clients, payment and refund amounts may be impacted by foreign exchange rates and bank charges. These factors are beyond our control.

7.2 Any refund approved by us will be initiated in the currency and amount that we originally received, net of any applicable gateway or bank charges. The final amount reflected in your account in local currency may vary due to exchange rate fluctuations and intermediary fees.
